Everything about FwdEasy: forwarding listings on WhatsApp, property files, sending to clients, pricing and privacy.

About FwdEasy

What is FwdEasy?

FwdEasy is your own personal WhatsApp bot for property listings, together with a simple web app where all your properties are kept in order.

Here is how it works. Say a co-broker just sent you a property on WhatsApp: a few lines of details, some photos, maybe a floor plan. All you do is press and hold the message, tap Forward, and send it to your FwdEasy bot, exactly as you would forward it to a colleague.

The bot reads the details, sorts the photos and documents, and arranges everything into a neat property file. Within a few seconds it sends you back a link on WhatsApp. Tap the link and you see the whole property in one place: price, size, rooms, area, who sent it, and all the photos and files.

From then on you can search all your properties in plain words, and send a clean property page to a client in one tap. Easy!

You can try it free for 14 days, with no credit card.

Who is it for?

FwdEasy is for real estate brokers who receive a lot of listings from other brokers on WhatsApp. It suits an independent broker working alone, a small office with a few people, and an agency that wants the client pages to carry its own brand.

It works in any country and with listings in any language.

What problem does it solve?

You know the feeling: co-brokers send listings all day long on WhatsApp, and after a week they are buried in dozens of chats. A client calls and asks about "the 3-bedroom in Glyfada", and you remember Maria sent something like that last month, but finding it means scrolling for minutes. The floor plan is in one chat, the permit in another. And when you finally want to send it to the client, you have to copy the text and carefully delete the other broker's name and phone by hand.

With FwdEasy, every listing is filed the moment you forward it. You find it in seconds by simply typing what you are looking for, and you send the client a clean page without the other broker's details.

What does "forward and get a property file in seconds" mean?

It means you do on WhatsApp what you already know how to do: forward a message.

  1. In the chat with the co-broker, press and hold the message with the property details. Also tap the photos and files that came with it, so they are all selected.
  2. Tap Forward and choose your FwdEasy bot from your contacts.
  3. That's it. The bot reads the text, pulls out the details, sorts the files, and within a few seconds sends you back a message with a link to the new property file.

Tap the link and you see the property with all its information, photos and documents, neatly organised.

If you sent a lot of files at once, it can take a little longer. In that case the bot first replies "Give me a moment" so you know it received everything, and sends the link as soon as it is ready.

Do I need a new phone, a new number or a new app?

No. You keep using your own phone and your own WhatsApp, just as you do today.

When you sign up, the app gives you the phone number of your FwdEasy bot. Save it in your contacts under any name you like, for example "My bot". You link your own WhatsApp number once with a short code (it takes about two minutes), and from then on you simply forward listings to the bot.

The web app opens in any browser, on your phone or your computer. There is nothing to download or install.

Does it work with WhatsApp Business?

Yes. It works the same way with regular WhatsApp and with WhatsApp Business. In both, you simply forward the message to the bot, just like forwarding to any other contact.

Is FwdEasy an official WhatsApp product?

No. FwdEasy is an independent service, made by Benefit Estate IKE in Athens, Greece.

To receive the messages you forward, it uses the official WhatsApp Business Platform (Cloud API) from Meta, the company behind WhatsApp. WhatsApp is a trademark of Meta.

What makes it different from WhatsApp groups, Excel or a CRM?

The big difference is that with FwdEasy you do not type anything. You forward, and the property is filed for you.

  • WhatsApp groups and chats: the listings are there, but nothing is organised. You cannot search by price, area or property type, and files get lost between chats.
  • Excel: you can organise things, but you have to type every detail yourself, and the photos and documents are not there. FwdEasy fills in the details for you, straight from the broker's message.
  • A CRM: usually means a lot of manual data entry and training before you can use it. FwdEasy needs no data entry and no training, and it was built especially for listings that arrive from other brokers on WhatsApp.
Which languages does it understand?

The bot reads listings in any language. Greek, English, Hebrew, Arabic, Spanish, it does not matter what language the co-broker wrote in.

The app itself can be used in English, Hebrew, Greek, Arabic or Spanish. You pick the language from the menu at the top.

The property descriptions your clients read are written in the language you choose in Settings (English unless you change it). So a broker can send you a listing in Greek, and your client still reads it in English.

Which countries does it work in?

Any country. The bot reads listings in any language and prices in any currency, and the maps work everywhere in the world.

Who makes FwdEasy?

FwdEasy is made by Benefit Estate IKE in Athens, Greece. It was built by a real estate broker with nearly 10 years of experience in Athens, for the daily work of brokers who receive listings from co-brokers on WhatsApp.

It was built by a working broker, for the daily reality of a broker who receives listings from co-brokers all day on WhatsApp and was tired of searching for them.

Getting started

How do I start?

Getting started takes about two minutes.

  1. Go to fwdeasy.com and sign up with your email and a password. No credit card is needed.
  2. In the app, open Settings. In the Connect your WhatsApp section, tap Get a code. You will see a short code (it looks like LINK-123456) and the phone number of your bot.
  3. Save the bot's number in your phone contacts, under any name you like, for example "My bot".
  4. From your WhatsApp, send the code to the bot.
  5. The bot replies that your number is now linked.

That's it. From now on, whenever you get a listing, forward it to your bot and you will get a property file back within seconds.

How long is the free trial?

The free trial lasts 14 days and includes everything, also client matching. You do not need a credit card to start.

During the trial you can save up to 30 properties, which is plenty to see how it works with your real listings.

What happens when the trial ends?

The free trial lasts 14 days. When it ends, the app and the bot pause until you choose a plan:

  • You can still sign in, but you see only the screen for choosing a plan.
  • Messages you forward to the bot are not filed. The bot tells you the trial has ended.
  • Links you already sent to clients keep working.

Nothing is lost: all your properties, files and clients stay saved, and everything comes back the moment your plan is active.

Online payment is opening soon. Until then, tap Talk to us on that screen and the team will activate your plan the same day.

The code expired or did not work.

Each code is valid for 15 minutes. If it did not work:

  1. Go back to Settings, then Connect your WhatsApp, and tap Get a code again to get a fresh one.
  2. Send the new code exactly as it appears (for example LINK-123456), from the phone you want to link.
  3. Make sure you sent it to the bot number shown in Settings, and not to another number.

If the bot still does not answer, contact support and the team will check it for you.

Which number do I forward to?

To your FwdEasy bot's number. You can always find it in the app, under Settings, then Connect your WhatsApp.

Save it in your phone contacts under a name that is easy to find, for example "My bot" or "FwdEasy bot". Then, when you tap Forward on WhatsApp, you just pick it from your contacts like anyone else.

Using the WhatsApp bot

How do I add a new property?

Say a co-broker just sent you a new apartment with a few photos and a floor plan.

  1. Press and hold the message with the details, and also tap the photos and files that came with it, so they are all selected.
  2. Tap Forward and choose your bot.
  3. Within a few seconds the bot replies "New property saved", with the main details and a link.

Tap the link and you see the full property file in the app.

You can forward several messages together. Everything you send within a few seconds of each other is treated as one property.

How does the bot know which broker sent the listing?

In most cases it figures it out by itself: if the broker's name or signature appears in the message, the bot reads it automatically.

If the name is not in the message, you have two options:

  • Before forwarding, send the bot a short message with just the broker's name, for example "Maria", and then forward the listing.
  • Or just forward it. If the bot cannot tell who sent it, it asks you afterwards and shows you a list of your recent brokers to choose from, with one tap.
How do I mark a property as my own (not from a broker)?

When the bot needs the broker's name, simply write "mine" instead. You can also write it in Hebrew ("שלי" or "נכס שלי") or in Greek ("δικό μου").

You can send it before forwarding the property, or when the bot asks you who sent it. The property is then saved under your own business name, not under a co-broker.

How do I add files to a property I already have?

Just send the bot the files on their own, without any text.

  • If you added a new property in the last 10 minutes, the bot understands the files belong to it and adds them there.
  • If not, the bot asks you which property they belong to and shows a list of your recent properties. Tap the right one, and the files are added and sorted into place.
Can I send a PDF presentation or brochure instead of a message?

Yes, and it is one of the most useful things the bot does.

Say a developer sent you a 20-page presentation of a new project.

  1. Forward the PDF to your bot, on its own.
  2. A short list appears. Choose New property from file.
  3. The bot reads the whole presentation, pulls out the details (price, size, location and so on) and creates a new property for you. It also takes out the photos and plans from inside the presentation, saves pages with drawings (like floor plans) as separate documents, and keeps the original presentation in the property too.

This takes a minute or two, and then the bot sends you a link to the new property.

You can also do this from the web app: tap Add a property and upload the PDF there.

What files can I send?

Almost anything a broker usually receives: photos, PDFs, Word documents, presentations and videos.

Each file can be up to 50 MB. For PDFs, the bot can read and understand the content of files up to 30 MB.

How are files sorted?

Every file you send is put into the right folder in the property automatically. The folders are: photos, floor plans, site (topographic) plan, building permit, legalization documents, sections, land registry, legal documents, videos, presentations and other.

To decide where each file goes, the bot looks both at the file name and at what is inside it.

If a file ended up in the wrong place, open the property and change its category with one tap, using the menu under the file.

Can I search from WhatsApp?

Yes. Just write to your bot what you are looking for, in your own words, for example "building in the south under 1 million" or "3 bedrooms Glyfada".

The bot replies with the matching properties that are still available, each with a link, so you can open them or send them on right away.

How do I add a client from WhatsApp?

Write to the bot "client:" followed by who the client is and what they are looking for, in your own words. For example:

client: David Levi +972501234567, 3 bedrooms in the south up to 450k

The bot saves the client in your account and immediately shows you which of your properties suit them.

Can I send a contact card?

Yes, one contact or many at once.

  1. In the chat with your bot, tap the attachment button (📎) and choose Contact.
  2. Select one contact, or several, and send.
  3. The bot shows the names and asks how to save them. Tap one option:

- Clients: they are saved in your Clients list.

- Brokers: they are saved in your Brokers list.

- Broker of this property: appears when you send a single card right after a property. The phone is saved on that property, and on all other properties of the same broker.

Contacts you already have (same phone or email) are not saved twice.

Can I send many contacts to the bot at once?

Yes. WhatsApp lets you select several contacts in one share, and the bot saves up to 100 from each send.

If you have hundreds of contacts, it is easier to import a file in the app: go to Clients (or Brokers) and tap Import from file.

What does "Give me a moment, I'm working on it" mean?

It means the bot received everything and is busy with it. When you send a lot of files or a long text, it takes the bot a little longer to download and read them all, so it lets you know right away that nothing was lost.

Just wait a moment. The full answer with the link to the property arrives shortly after.

The bot did not answer.

First, give it about 30 seconds. With many files it can take longer, and in that case you will usually first get a "Give me a moment" message.

If nothing arrives, check three things:

  1. That your phone is linked: in the app, open Settings, then Connect your WhatsApp, and make sure your number appears in the list.
  2. That you forwarded to the correct bot number (the one shown in that same screen).
  3. Then try forwarding the message again.

If it still does not answer, contact support and tell us roughly what time you sent it, so the team can check exactly what happened.

The bot saved the wrong broker name.

That's easy to fix.

  1. Open the property in the app.
  2. In the Broker section, tap Edit.
  3. Correct the name, phone and email.

If the same mistake happened on other properties from that broker, you can apply the correction to all of them at once.

The bot misread a detail (price, size, rooms).

You have two ways to fix it:

  • Fix it directly: open the property and tap Edit in Key figures (or in Notes), correct the detail and save.
  • Let the bot read it again: edit the text of the original message inside the property, then tap Save and update details. The bot reads the corrected text and updates the details for you.
Can the bot read voice messages?

Not at the moment. Please forward the text, photos and files of the listing, and the bot will take care of the rest.

Does the bot read messages in my other chats?

No, never. FwdEasy only sees the messages you choose to forward or send to your bot.

It has no access to your other chats, your groups or your contacts. If you did not forward it, the bot does not know it exists.

The property file

What is in a property file?

When you open a property, you find everything about it in one page:

  • Photos, with a large main photo and small thumbnails underneath.
  • The title, the location and a link to the map.
  • The price and the price per m².
  • Key figures: type, area, plot, bedrooms, floor, year built, number of units and more.
  • A short summary of the listing.
  • A checklist of the documents usually needed, showing what you have and what is missing.
  • All the files, sorted into folders.
  • The co-broker's details and their original message.
  • Links, such as presentations, video tours or drive folders.
  • The links you already sent to clients.
  • Clients who match this property.
What is the documents checklist?

For every type of property, FwdEasy shows which documents are usually needed: for example floor plans, site plan, building permit, legalization documents and land registry.

Next to each one you see whether you already have it or whether it is missing. So before a client meeting, you can tell at a glance what you still need to ask the co-broker for.

How do I edit the details?

Each section of the property has an orange Edit button. Tap it, change what you need (key figures, notes, broker details) and save.

Your changes are saved immediately.

How do I replace or delete a photo or file?

Under every file there are two buttons:

  • Replace: choose a new file. It goes into the same folder, and the old one is removed.
  • Delete: removes the file.

To delete several photos at once, tap Select photos, mark the ones you want to remove and delete them together.

How do I change a file's category?

Under each file there is a small menu showing its current category. Open it and choose the right one, and the file moves there.

How do I mark a property as sold?

At the top of the property there is an Available / Sold switch.

When you switch it to Sold, you can enter the sale price and date, or simply mark it as sold with an unknown price.

The property then leaves your Available list, but it stays in your history, so you can always look back at it.

Where is the map?

In the Location section. Tap the address and it opens in Google Maps.

If the co-broker's original message included a Google Maps link, FwdEasy uses that exact link, so the pin is in the precise spot they marked.

Can I add a property without WhatsApp?

Yes. In the web app tap Add a property. You can then choose one of three ways:

  • Paste the listing text and tap Read the message, and the details are filled in for you.
  • Fill in the details yourself by hand.
  • Upload a PDF presentation, and the property is created from it.

Finding properties

How does search work?

Just type what you are looking for in plain words, in the Find box at the top of the app. For example:

  • "3 bedrooms in the south under 450k"
  • "the land Maria sent in September"
  • "building with permit"

You do not need exact words or filters. Search understands what you mean: areas, prices, property types, who sent it and even which documents it has. The matching properties appear right away.

What filters are there?

Besides the free search, you can narrow the list by type, area, broker, missing documents and price from/to.

At the top there are also tabs: All, Available, Sold, This week and With photos.

You can also choose how to view the list: as cards with large photos, or as a compact table.

Can I see what arrived today?

Yes. Your properties are grouped by day (Today, Yesterday, and so on), so the newest ones are always at the top. To see everything from the last few days, tap the This week tab.

Sending to clients

How do I send a property to a client?

Say a client asked for a 3-bedroom and you have just the right one.

  1. Open the property and tap Send to client.
  2. Choose what the client will see: how much of the address to show, whether to include notes, and which photos, files and links.
  3. Enter the client's name and their phone number or email.
  4. Send it by WhatsApp or by email, in one tap.

The client receives a link to a clean, good-looking property page, with your details and without the co-broker's.

What does the client see?

The client sees a clean property page with only what you chose to show: photos, plans and documents, price, key figures, the description, and a map at the level you chose. At the top they see your logo and your contact details.

The client page does not show the co-broker, their phone number, your commission or the original message. File names are also replaced with clean, neutral names, so nothing gives away where the listing came from.

Can I hide the exact address?

Yes. Every time you send a property, you choose how much of the location to show: the full address, the street only, the area only, or no location at all.

Can I add my logo to client pages?

Yes. In the app, open Settings, go to Logo and tap Upload logo. You can use a PNG, JPG or WebP file of up to 2 MB.

From then on, your logo appears at the top of every property page you send to clients.

Who is the message to the client signed by?

By you. The message carries your name and your business name, as you entered them in Settings, under Business details, in the Your name field.

Clients and matching

How do I save a client?

You have a few ways:

  • In the app: go to Clients and add the client's name, phone, email and what they are looking for, written in your own words.
  • From WhatsApp: write to your bot "client:" followed by the details, for example "client: David Levi +972501234567, 3 bedrooms in the south up to 450k".
  • A contact card: send the client's contact card to your bot and tap Clients.
  • Many at once: import a file (see the next question).
Can I import my clients from Excel, CSV or my phone contacts?

Yes.

  1. Go to Clients and tap Import from file.
  2. Choose an Excel file (.xlsx), a CSV file, or a contacts file from your phone (.vcf).
  3. FwdEasy finds the name, phone and email columns by itself, even when the headings are in Hebrew, Greek, Arabic or Spanish. A column like "looking for" or "notes" is saved as what the client is looking for.
  4. You see a preview with how many contacts were found. Nothing is saved until you tap Save.

Contacts you already have (same phone or email) are skipped. You can import up to 2,000 contacts per file.

How do I get a contacts file from WhatsApp or my phone?

WhatsApp itself cannot export contacts, because your contacts are stored in your phone. Here is how to get them out:

  • iPhone: open the Contacts app, select the contacts (or a whole list) and choose Export. You get a .vcf file.
  • Android or Google Contacts: open contacts.google.com on a computer, select the contacts, tap Export and choose Google CSV or vCard.

Then in the app go to Clients (or Brokers), tap Import from file and choose that file.

Or skip the file and simply send the contact cards to your bot.

A client was saved without what they are looking for.

That is normal for clients imported from a file or a contact card: often you only have a name and phone.

Go to Clients, tap Edit on the client, and describe in your own words what they are looking for. Until you do, the client is not included in matching.

What is client matching?

Client matching means you no longer need to remember which property suits which client.

FwdEasy compares what each of your clients is looking for with your available properties, and shows you which properties fit each client, with a short explanation of why.

It also works the other way: on any property page, tap Find matching clients, and you see which of your clients this property suits.

Client matching is included in the Pro and Branded plans, and in the free trial.

Brokers

Where do I see all my brokers?

In the Brokers screen. It lists everyone who sent you properties, plus brokers you added yourself, from a contact card or from a file.

For each broker you see their phone and email, how many properties they sent, how many are still available, and when they last sent one. Buttons let you message them on WhatsApp, call or email in one tap.

How do I see all the properties of one broker?

Go to Brokers and tap Their properties on the broker. Your properties list opens, showing only that broker's properties.

You can also use the broker filter in the properties list.

How do I add a broker?

You have a few ways:

  • In the app: go to Brokers, tap Add broker, and enter the name, phone, email and a note.
  • A contact card: send the broker's contact card to your bot and tap Brokers.
  • A file: go to Brokers and tap Import from file.

A broker is also added automatically whenever you save the broker of a property.

How do I edit a broker's details?

Go to Brokers and tap Edit on the broker. When you save, the new name, phone and email are updated on all of that broker's properties at once.

Can I delete a broker?

A broker you added who has no properties can be deleted from the Brokers screen.

A broker who has properties stays in the list as long as those properties exist. You can still edit their details.

Can I import a list of brokers?

Yes. Go to Brokers, tap Import from file, and choose an Excel file, a CSV file or a contacts file from your phone (.vcf). You see a preview first, and brokers already in your list are skipped.

Team and account

Can my team work together?

Yes. The Pro plan includes up to 3 users and the Branded plan up to 5.

To add someone, open Settings and go to Team. Everyone shares the same list of properties, each person has their own sign-in, and each one can link their own WhatsApp number, so whatever any of you forwards lands in the same place.

How do I change my password?

In the app, open Settings and tap Change password.

I forgot my password.

No problem. In the chat, tap Talk to a person and write the email you signed up with. The team will help you reset your password.

How do I change the app language?

Use the language menu at the top of the app. You can also change it in Settings, under Business details, in Language.

How do I change the language of property descriptions?

This is the language your clients read the property descriptions in. To change it, open Settings, go to Business details, and choose the Language of property descriptions (what clients read).

New properties will be written in the language you chose.

Can I export my data?

Yes. Contact support, and the team will send you an export of your properties and clients.

How do I delete my account?

In the chat, tap Talk to a person and ask to delete your account. Your account, properties and files are deleted at your request.

Can I import my existing listings?

Yes.

  • For a few properties: in the app tap Add a property, then paste the listing text or upload the PDF, and the property is created for you.
  • For a larger import, for example from another system or from a spreadsheet: contact support, and the team will help you bring everything in.

Pricing and payment

How much does it cost?

There are three plans:

  • Basic: €39 per month. For a broker working alone. One user, up to 300 new properties a month, the WhatsApp bot with AI that reads every listing, smart search, automatic document sorting, and client pages with your logo that do not show where the listing came from.
  • Pro: €79 per month. For offices. Up to 3 users and 1,500 new properties a month. Everything in Basic, plus AI client matching. This is the plan we recommend for most offices.
  • Branded: €199 per month, plus a one-time €250 setup. For agencies. Up to 5 users and 3,000 new properties a month. Everything in Pro, plus your own bot on a new, dedicated WhatsApp number in your agency's name, instead of the shared FwdEasy bot. It needs a new phone number, and we set it up with you.

Prices do not include VAT. You can start with a 14-day free trial, with no credit card.

Is there a discount?

Yes, two:

  • Founding members: the first 50 offices get 40% off for life. That means Basic at €23, Pro at €47 and Branded at €119 per month.
  • Yearly payment: pay for a year and get 12 months for the price of 10.
What counts as a "new property"?

Every property created during the month counts as one, whether it came in from WhatsApp, from a PDF or was added by hand.

Editing a property or adding files to one you already have does not count.

What happens if I reach the monthly limit?

Nothing is blocked except adding new properties. You can still see, search and send everything you already have.

New properties can be added again from the start of the next month, or right away if you move to a bigger plan.

How do I pay?

Online payment is opening soon.

In the meantime, you can start the 14-day free trial without a credit card. Everything you save stays when you choose a plan. If you want to start a paid plan before online payment opens, just contact the team.

Can I cancel any time?

Yes. There is no long-term commitment, so you can cancel whenever you want.

Your plan stays active until the end of the month you already paid for, and it is simply not renewed after that.

Can I get a refund?

Yes. If you are not happy, you can ask for a full refund of your first payment within 14 days of that payment, no questions asked. Write to the team, or reply to your payment receipt.

Renewal payments are not refunded for the rest of a month you already started. The full rules are in the refund policy:

https://fwdeasy.com/refunds

Will I get an invoice?

Yes. You receive an invoice for every payment.

The invoice is sent by email after each payment, with the right VAT for your country. If you have a VAT number, you can enter it at checkout.

Privacy and security

Who can see my properties?

Only you and the people you added to your account. Every account is completely separate from the others.

Your clients see only the property pages you chose to send them, and nothing else.

Where is my data stored?

On Cloudflare's servers in Europe (EU). Each account's data is kept separately, and your files are stored in the EU too.

Do you share or sell my data?

No. Your listings, your clients and your brokers are never shared with other users and never sold.

Is the AI trained on my listings?

No. To read listings and files, FwdEasy uses the Claude API from Anthropic. Data sent through this API is not used to train the models.

Will other brokers using FwdEasy see my listings or my brokers?

No. Every account is private. Other brokers who use FwdEasy cannot see your listings, and your network of co-brokers stays yours alone.

Troubleshooting

Photos do not appear on the client page.

The client sees only the files you select when sending. So when you tap Send to client, check that the photos are marked in Files to include, then send again.

A PDF was not read correctly.

This usually happens with scanned PDFs, where the pages are pictures without real text, which are harder to read.

The file itself is still saved in the property. Just open the property, check the details, and correct anything that is wrong with Edit.

A file is in the wrong category.

Open the property and, under the file, choose the right category from the small menu, and the file moves there.

If several files were not sorted, tap Sort unsorted files in the property, and they are read and sorted again.

The map shows the wrong place.

Open the property and correct the address in Key figures.

If the co-broker's message included a Google Maps link, that link is used as it is. In that case, edit the link inside the original message to fix the location.

I cannot sign in.

First check that the email and password are typed correctly.

After several wrong attempts, sign-in is paused for a short while for your security, so wait a few minutes and try again.

If you forgot your password, contact support and the team will help you.

The app looks old after an update.

Your browser is probably showing an older saved copy. Refresh the page:

  • On a computer, press Ctrl+F5.
  • On a phone, close the tab and open it again.

Talking to a person

How do I reach a person?

At any time, in the chat, tap Talk to a person.

If you are signed in, your question reaches the team together with your account details, so you do not need to explain who you are. If you are visiting the website, leave your email or WhatsApp number so the team can get back to you.

The team usually replies within a few hours on working days.
